Privacy Policy

How Mosaic Media collects, uses, stores, and protects account, library, billing, support, and diagnostic data across the public site and the app.

Mosaic Media is operated by Ace Creative Solutions LLC ("Mosaic Media", "we", "our", or "us"). This Privacy Policy explains how we collect, use, store, and protect information when you use the Mosaic Media website, app, support forms, and related services.

1. Who This Policy Covers

This policy applies to visitors and account holders using Mosaic Media to track entertainment activity across TV, movies, games, music, and related media.

Mosaic Media is not directed to children under 13, and we do not knowingly allow children under 13 to create accounts.

2. Information We Collect

  • Account and identity data: email address, authentication provider identifier, login/session data, and account role.
  • Profile and onboarding data: display name, optional date of birth, optional gender, optional location, timezone, onboarding goals, selected content areas, and services you use.
  • Library and activity data: titles you add, ratings, watch or play status, watch history, notes, lists, memories, import results, and other entertainment-tracking activity you create in the product.
  • Billing and plan data: subscription tier, subscription status, Stripe customer or subscription references, and billing workflow metadata. We do not store your full payment card number.
  • Support and communication data: support form submissions, category, message contents, reply email address, and related metadata such as the page you were on when you contacted us.
  • Usage, device, and diagnostic data: browser details, request metadata, error logs, crash reports, and operational telemetry used to secure and maintain the service.
  • Optional AI and lookup inputs: prompts you submit for recommendation features, title search context, and optional image data if you use photo-based actor identification.

3. How We Use Information

  • Authenticate users and keep accounts secure.
  • Provide library tracking, onboarding, recommendations, imports, billing, and support workflows.
  • Personalize the app based on the preferences and activity you choose to save.
  • Run optional AI-assisted and metadata-enrichment features when you ask for them.
  • Investigate bugs, monitor reliability, prevent abuse, and protect the service.
  • Send transactional messages such as support acknowledgements, account emails, and billing-related notices.

4. Service Providers and Sharing

We do not sell personal information and we do not share it with third parties for advertising or data-broker purposes.

We share limited information with service providers only as needed to operate Mosaic Media, including:

  • Auth0 for authentication and account sessions.
  • Railway for application hosting and PostgreSQL infrastructure.
  • Stripe for subscription checkout, billing portal, and webhook processing on the web app.
  • RevenueCat for in-app subscription management, together with the Apple App Store and Google Play for in-app purchase billing in our mobile apps.
  • Resend for support and transactional email delivery.
  • Sentry and Better Stack for error tracking, logging, and operational monitoring.
  • Cloudflare R2 for object storage and public asset delivery.
  • TMDB for title search, metadata, and poster enrichment.
  • Geoapify for location autocomplete only when you type into the optional location field.
  • Anthropic for AI recommendation and taste-matching features.
  • OpenAI for optional actor photo identification and certain internal asset-generation workflows.

5. Cookies, Local Storage, and Browser State

Mosaic Media uses authentication/session mechanisms, browser local storage, and similar device-side storage to keep you signed in, preserve onboarding progress, and remember core app state. We do not use third-party ad cookies or cross-site advertising trackers.

6. Data Retention

  • Account and library data are retained while your account remains active.
  • Support request records are retained for operational and customer-support needs.
  • Operational logs and backups may persist for a limited period after deletion as part of backup and incident-response processes.
  • If you request account deletion, we will remove or de-identify data within a reasonable operational period, subject to legal, security, and billing recordkeeping requirements.

7. Your Choices and Rights

You can update profile and onboarding fields inside the app. You may also contact us to request access, correction, deletion, or export of account data.

8. Security

We use HTTPS/TLS, access controls, role separation, and operational monitoring to protect data in transit and at the application layer. No system is perfectly secure, but we work to reduce exposure and investigate incidents promptly.

9. International Use

Mosaic Media is operated from the United States and primarily uses US-hosted infrastructure. If you access the service from outside the United States, you understand that information may be processed in the United States or other countries where our providers operate.

10. Policy Updates

We may update this Privacy Policy as the product changes. When we make material updates, we will update the effective date on this page and may also notify users in-app or by email.
